What is the Newsletter Automation
The Voortman newsletter automation is a system built in Active Campaign to manage, personalize, and automate marketing communication with customers and prospects.
It connects website data, CRM systems, and marketing tools to deliver targeted email campaigns based on user behavior, interests, and lifecycle stage, while ensuring compliance and scalability.
Challenge
The existing email setup had grown organically and lacked clear structure, resulting in low efficiency and potential risks.
Key challenges included:
- Mixing transactional and marketing emails, causing deliverability and compliance issues
- Fragmented data flows between website, Active Campaign, and CRM
- Large number of unused or inconsistent tags, fields, and automations
- Poor segmentation and targeting of audiences
- Inconsistent automation flows with low engagement
- Lack of a scalable structure for both data and email design
The challenge was to transform a fragmented setup into a clear, scalable, and design-driven marketing platform built within Active Campaign.
My Role
I led the concept, system design, implementation, and email design of the newsletter automation.
This included:
- Designing the data structure (audiences, segments, tags, fields)
- Defining automation flows and campaign logic
- Designing and building email templates directly in Active Campaign
- Creating email assets and reusable visual components
- Improving integration between website, Active Campaign, and CRM
- Establishing best practices for compliance and deliverability
